GENERAL AND TECHNICAL REGULATIONS

These general terms apply to Show organizers whenever they occupy and use the exhibition space of the Casablanca International Exhibition Centre. - AMDIE.

This document is made up of two parts: the first part includes the general conditions of occupancy, and the second deals with the technical conditions of occupancy.

Event organizers occupying the premises, formally undertake to comply with all these general terms and to communicate a copy thereof to all exhibitors.  

Also, organizers accept all new provisions which may be imposed by circumstances and adopted in the best interest of the event.

Organizers are required to inform relevant AMDIE departments in due time of any difficulties that have arisen from the application of these terms. ;  

The full acceptance of these regulations by the organizers of shows, exhibitions and other events is an essential prerequisite for any rental commitment from AMDIE


General conditions to occupy the premises:

Plans and models:
Organizers should submit the final layout plan of the event to the technical department within the deadline indicated by relevant AMDIE, departments. The technical department reserves the right to move or modify a location, a reservation or an arrangement under special circumstances or due to a force majeure, without the organizers being entitled to claim damages.
Thus, setting up and decorating exhibition stands can only be undertaken after official approval of the exhibition plan and provision of the installation bulletin by the relevant AMDIE departments, as well as signing an agreement by the stands developer (organizer’s subcontractor) to abide by the technical conditions of space occupancy. 
Exhibitors wishing to install customized stands are required to submit, one month before the show, the plans or models of their stands to the relevant AMDIE departments for approval, and to sign an agreement to comply with the technical conditions of space occupancy.

These stands must be prefabricated and easily dismountable.
Any customized stand whose height exceeds 3 m is subject to the approval of the relevant AMDIE departments.

Stands Assembly and Disassembly : 
The following rules apply during assembly and disassembly operations:
- Only accredited developers can assemble and disassemble the stands.
The show organizer is solely accountable for any complaint or delay in setting up the show.
Any exhibitor who does not fully vacate its stand or location by the due date and time exposes the organizer to pay an additional rent which could be claimed by AMDIE - as a premium charged on the rental for abusive occupancy.

Exhibitors should be present on-site from the start of disassembly until complete evacuation of the stand. Removal of goods, items and decorations should be undertaken under the responsibility of the show organizer and the exhibitors within the date and time deadlines set by relevant AMDIE departments. After these deadlines AMDIE cannot be held responsible for the disappearance or deterioration of any items left on site.

Security service :
To monitor the entry and exit of staff and equipment, the show organizer should undertake all necessary measures to ensure security during stands assembly and disassembly and throughout the show.
AMDIE cannot be held responsible for any theft or damage.

Equipment delivery : 
Delivery and removal of equipment intended for the exhibition will only take place during stands assembly and disassembly days.
Delivery access : 
Goods: through the gates located on DOUKKALA Street.
Light packages: through the main gate located on TIZNIT Street, just in front of HASSAN II mosque.

Badges : 
Wearing the official badge of the event is compulsory for the staff of exhibitors and developers, within the exhibition hall and during the assembly and disassembly period. 

Car park :
A car park managed by AMDIE is available for exhibitors. However, if the organizer requests to manage and oversee the car park's security, AMDIE might approve such a request in exchange of an additional rental.
This request should be submitted one month before the event.

 Space-use :
If an area of the fair space (or a room) is not fully used, the organizer has the obligation to install a partition made of suitable materials at the limit of the occupied area. This partition should guarantee the mechanical stability required to resist the public use.
For aesthetic reasons of the show, unoccupied areas should not be used as deposits or storage spaces throughout the event.
However, storage service can be provided by AMDIE upon payment of related costs. This service is subject to :
- Correct storage,
- Not blocking access to emergency equipment and exits,
- Permanent surveillance by qualified security personnel.

Good neighborhood policy : 
If an event is being assembled or dismantled while another event is open to the public, the organizer of the event under assembly should take all necessary measures to ensure that nothing disturbs the order and smooth running of the other event.

Displays and hangings:
Using displays and hangings is subject to the approval of relevant AMDIE departments.

Signage
Signage is compulsory and should be submitted to relevant AMDIE departments. 

Cleaning service : 
The organizer should subcontract a cleaning company to keep the aisles and stands clean during the show.
After dismantling all the installations of the show, the organizer must leave the previously occupied spaces clean. 

Technical conditions for occupancy:

State of play of the premises :
At the end of the show, the organizer should leave the space in its initial state. It is strictly forbidden to nail, screw, or stick anything on the walls and structures.  
The organizer will be held accountable for any damage or deterioration therein. 

It is also prohibited to:
- Undertake any modification or maintenance works on water pipes, electrical wires, telephone lines, or sewage system.
- Drill any holes for hangings or fixing systems.
- Stick or hang anything on the walls, pillars, floor, or ceilings 
- Paint or draw anything on the walls, pillars, floor, or partitions.
Apart from the authorized stands assembly, it is strictly forbidden to carry out masonry, ironwork, carpentry or other works within the grounds of the “Grand Palais”.
Any damage resulting from non-compliance with the above clauses falls within the responsibility of the organizer who should bear the cost of repairs.
Stands should not be roofed.
If the organizer wishes to undertake adjustment works that may modify the state of play of the fair, a written request should be submitted to AMDIE, In such a case, the organizer should commit to restoring the fair premises into their initial state during the dismantling period.
AMDIE may, at its discretion, refuse to authorize adjustment works deemed inappropriate.
The organizer is also responsible for any deterioration of the technical installations and equipment it would cause during the occupancy of the premises.

Security measures :
In compliance with the regulatory framework in terms of site security, a prevention plan should be set in collaboration with Civil Defense to ensure the safety of all users. 

To this end, the organizer should submit a technical safety file that meets the following recommendations:
- An interior layout plan specifying visitors flow, and the number of aisles and their width.
- Specific firefighting equipment: sufficient number of adequate extinguishers (two extinguishers per aisle). 
- Interior fittings should be made of M3 category materials. 
- Floating interior decorations or surface fittings of an area greater than 0.50 m² must be made of M1 category materials.   
- Conformity Certificates of all technical installations should be provided. 

Regarding those show activities organized inside flexible structures such as marquees, tents or inflatable structures, it is recommended to abide by the following instructions: 

- Submit a detailed plan with information related to the number of aisles and clearances and their width
- The flexible structure must be inspected beforehand by an "approved inspection office". The report of the inspection company should provide the following details: 
       - The mechanical stability of the frame (mounting and assembly). 
       - Reaction to fire performance. 
       - Electrical wiring, emergency equipment, and other installations. 

- The flexible structure must be within 200 meters from a water point ensuring a minimum flow of 60m3/hour for at least one hour. 

- A clear passageway 3 meters wide at least should be kept along half of the outer perimeter of the flexible structure.
 
- Two access roads, of opposite directions if possible, should be connected to the public road. These access roads should have a minimum width of 7m. 

- The flexible structure should be evacuated in case wind speed exceeds 100 km/h.

- The external cover, the interior double cover if applicable, and the belt of the flexible structure should be made of M2 category materials.

- Interior fittings should be made of M3 category materials. 
- Floating interior decorations or surface fittings of an area greater than 0.50 m² must be made of M1 category materials. 
- Floor coverings should be made of category M4 materials.
- Lighting fixtures should not impede the free movement of the public. 
- Fire prevention should be ensured by water-spray extinguishers of at least 9 liters, specific fire extinguishers suitable for particular risks, and trained personnel ready to intervene and use emergency equipment.
- An alarm system should be installed and broadcast through a sound system.    

NB : 
It is strictly forbidden to carry out works which may impede the efforts of the emergency response team in case of a fire.
Materials and fabrics used by exhibitors for fittings or decorations should be fireproof.
Big size stands (of an area greater than 100m²) should be equipped with a fire extinguisher in good working order.
All of the interior spaces of the Casablanca  International Exhibition Centre are smoke-free areas.

Electricity :
Organizers should comply with the general terms listed in the notice they formally declare to have acknowledged and accepted, and related to electrical and water installations within the space used. 

The organizer is required to submit an electrical diagram along with the layout plan for approval by relevant AMDIE departments. 
Each stand must be equipped with an electrical switchboard comprising a differential circuit breaker compatible with the electrical load used.

In the event of non-compliance of the electrical installation, the stand will not be connected to the grid.
Electric power available on site: 220 V three-phase current and 380 V.
It is strictly forbidden for exhibitors to connect their stands with the power grid. The connection should be carried out by the relevant AMDIE departments at the request of the organizer or the exhibitor, and only after verification of the conformity of the stand’s electrical installation.

Water and sanitation : 
For the installation of water pipes and the connection to the sewage system, the organizer should submit the request before setting up the exhibition.
